What information I collect
When you apply for a consultation, I collect the information you choose to give me in the application form:
- Your name, email address and phone number
- Your answers about why you're interested in coaching, what's holding you back, your goals, your work and working hours
- Your answers about whether you're ready to invest in coaching and the funds you've set aside
- When you'd be able to start
If you become a client, I'll also keep records of our sessions, our messages, and payment and invoicing details.
When you visit the website, I only collect analytics and advertising information (such as pages visited, the device and browser you use, and whether you arrived from a Google ad) if you accept analytics cookies. See "Cookies" below.
Sensitive information
Some of your answers may reveal information about your mental health or wellbeing, for example the emotions or beliefs that are holding you back. The law treats health information as a special category of personal data that needs extra protection.
I only use this information with your explicit consent, which you give by ticking the consent box on the application form. I use it only to understand your situation, decide whether coaching is a good fit, and prepare for our conversation. You can withdraw your consent at any time by emailing me.
Coaching is not therapy or medical treatment. If you tell me something that suggests you or someone else may be at serious risk, I may encourage you to seek professional support, and in an emergency I may contact the emergency services.
How and why I use your information
- To review your application and contact you about it by email, phone or WhatsApp. This is because you've asked me to, and so we can take steps towards a possible coaching agreement.
- To deliver coaching if you become a client. This is necessary to perform our agreement.
- To keep business, tax and accounting records. This is a legal obligation.
- To run and improve the website and my advertising, using analytics. This is only with your consent.
- To protect the website and my business, for example by filtering spam. This is in my legitimate interests.
I won't send you marketing emails unless you've separately agreed to receive them, and I never sell your information.
Who I share it with
I only share your information with trusted service providers who help me run my business, and only as much as they need:
- Website hosting: Netlify
- Receiving your application: Netlify Forms, which stores it securely and emails it to me
- Email and messaging: Google (Gmail) and WhatsApp
- Analytics and advertising, only if you accept cookies: Google (Google Analytics and Google Ads)
- My accountant or professional advisers, where needed
Some of these providers are based in, or store data in, the United States. Where that happens, your information is protected by approved safeguards, such as the UK-US data bridge or the UK's international data transfer agreement.
I may also share information if the law requires me to.
How long I keep it
- Applications that don't lead to coaching: deleted within [12 MONTHS] of your application
- Client records: kept for 6 years after coaching ends, to meet tax and legal requirements, then deleted
- Analytics data: kept for the period set in Google Analytics, [14 MONTHS]
Your rights
You have the right to:
- Ask for a copy of the information I hold about you
- Ask me to correct anything that's wrong
- Ask me to delete your information
- Ask me to limit or stop using it, or object to how I use it
- Ask for your information in a portable format
- Withdraw your consent at any time, without affecting anything done before you withdrew it
To use any of these rights, email michealcma@gmail.com. I'll respond within one month. There's normally no charge.
If you're unhappy with how I've handled your information, please tell me first so I can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Cookies
